The move from a small sample to a larger batch is a good moment to slow down and make the questions explicit. A clear handoff describes both the material you hope to make and the observations that led you there.

Start with a shared description

Before discussing equipment, write down what the lab team actually observed. Which sample is the reference? Which version of the formula produced it? How was the sample identified? What information is still missing?

These questions make the conversation concrete. They also give an editor or a new team member a way to understand the work without reconstructing it from informal messages.

Turn assumptions into questions

A useful handoff document can have three columns: what we know, what we assume, and what we need to investigate. This structure avoids giving a provisional explanation the same status as a measured result.

Questions for a formulation handoff
TopicQuestion for the handoffUseful record
Material identityWhich material and lot were used?Supplier and lot references
EquipmentWhat was used in the lab?Equipment description
ProcessWhich steps were recorded?Dated batch notes
ObservationWhat was evaluated?Method and result references

Keep the record readable

FDA’s cosmetic GMP inspection checklist discusses equipment, raw materials, production, laboratory controls, and records. It is a useful primary-source reading list for understanding the breadth of manufacturing documentation. Read the FDA checklist.

Its records section connects material identities and lots with processing, sampling, adjustments, and finished-batch identification. Use those connections to ask whether a handoff lets another reader trace a sample through the work. Keep the source’s scope in view: a general checklist does not provide the process settings or evidence needed for a particular scale-up.

The table above is an editorial organizing device, not a complete GMP system or a validated scale-up plan. Its purpose is simpler: make the unknowns visible and the next discussion more useful.
